Rules of Conduct

 

  • Attendees are at their own risk with respect to the dangers incidental to Tokyo In Tulsa. Acceptance of your membership constitutes consent to the use of the wearer’s image or likeness in any recording, transmission, or reproduction of Tokyo in Tulsa and consent to ejection without refund for inappropriate behavior or failure to comply with Tokyo in Tulsa Rules of Conduct.
  • Attendees are at their own risk with respect to the dangers of cosplay. Neither Tokyo in Tulsa, DoubleTree Downtown, nor Tulsa Convention Center are responsible for accidents (tripping, falling, etc) due to costume malfunction or as a result of a costume. We urge everyone who wishes to cosplay and those around cosplayers please be cautious and mindful of costumes.
  • Please be kind and courteous to your fellow attendees, guests, dealers, and staff at all times. Disruptive behavior that disturbs others is not allowed. This includes running, screaming, yelling, horseplay, unsolicited physical contact, or any other behaviors deemed disruptive by convention staff.
  • Please treat the convention facilities with respect. The DoubleTree Downtown and Tulsa Convention Centers are wonderful facilities and we would like to keep it that way. Do not damage or deface the facilities or their property in any way.
  • Please keep the hallways and aisles clear. While it is wonderful to stand and talk to friends, please do so in a manner that does not obstruct the flow of traffic.
  • Smoking is prohibited except in designated areas. Underage smoking is prohibited.
  • Rollerblades, skates, heelies, skateboards, scooters and bicycles are prohibited in the convention center and hotel.
  • Offensive and/or revealing attire is prohibited. We kindly ask that people refrain from wearing clothing (including costumes) that would be inappropriate in public.
  • Tokyo in Tulsa prohibits signs or other materials that can be interpreted as solicitation or panhandling. This includes signs such as “Hugs for a Quarter”, “Free Glomps”, or “Donate to a Poor Catgirl”. As a result, all signs will be confiscated and may be destroyed by Con Ops. Exceptions may be made if it can be proved that a sign is part of a costume (e.g. screen capture from the show with the text on the sign – this does NOT include Photoshop edits).
  • Tokyo in Tulsa, DoubleTree Downtown and Tulsa Convention Center are not liable for any missing belongings. Please keep a close eye on your items. If you should lose something, please contact convention security.
  • Do not leave your bags unattended! Any bag left unattended will be turned over to the appropriate authorities. This may include the DoubleTree Downtown, Tulsa Convention Center or the local authorities.
  • Tokyo in Tulsa encourages people to leave bags, backpacks and other personal belongings in their hotel room or car.
  • Remember the DoubleTree Downtown is a hotel. As such it is customary to tip employees if they perform a service for you. Customary tipping procedure is 20% of the total amount. However, please remember that tipping is based upon good service. If at any point a hotel employee is rude or antagonistic towards you, please inform convention operations. Please refrain from responding back with equal antagonism.
  • Function rooms have a limited amount of space. Due to this fact, it may become necessary to wait in line prior to gaining entry to some events/areas. Please be patient and understanding; we will do our best to accommodate as many people as we can in the quickest fashion possible.
  • Disabled persons, staff, on-duty volunteers, convention guests of honor, and dealers are not required to stand in line for entry into the Dealer’s Room. If you have any questions, please contact convention security.
  • Shoplifting is a crime. It is not tolerated and violators will be prosecuted to the full extent of the law. Shoplifters will have their badges revoked without refund, be removed from the convention and will not be admitted to Tokyo in Tulsa in the future.
  • Tokyo in Tulsa staff reserve the right to revoke your convention membership and eject anyone at anytime from the convention without a refund.
  • Please follow the directions of convention staff and convention security. They are there to make your experience more enjoyable, not to hinder or hurt you. Anyone who refuses to obey either convention staff or convention security will be subject to removal from the convention.
  • STATE AND FEDERAL LAWS MANDATE THAT DRUGS SUCH AS MARIJUANA, ECSTACY, COCAINE, HEROINE, AND OTHER SIMILAR ITEMS ARE ILLEGAL SUBSTANCES. They will not be tolerated in or around the Tokyo In Tulsa convention or within either the DoubleTree Downtown or the Tulsa Convention Center.
  • STATE AND FEDERAL LAWS ALSO MANDATE THAT IT IS PROHIBITED FOR INDIVIDUALS UNDER THE AGE OF 21 TO DRINK ALCOHOLIC BEVERAGES. The legal age for drinking alcohol is 21. Our over 21 attendees are allowed to consume alcohol outside the convention area in a responsible, civilized manner. We require that our under 21 attendees refrain from drinking at the convention.
  • Tokyo In Tulsa was created so that people with similar interests could gather together in the spirit of community, so most of all HAVE FUN!!!

Vendor Space

  • Dealers, please keep your products, displays and staff within your purchased space and out of traffic aisles.
  • You will receive badges for each space that you purchased. Additional badges may be purchased for $30 each (subject to change).
  • Although there will be convention volunteers stationed throughout the area, Tokyo in Tulsa is not responsible for your merchandise. Please take the proper precautions against damage and theft. 

 

Artists Bazaar

  • Tokyo in Tulsa’s Artists Bazaar is a venue for artists, crafts, events, self-promotion and special interests.
  • You may sell anything that is related to your own personal hard work, crafts or designs.
  • This is not a place to sell manufactured items such as DVDs, key chains, plushies, etc.
  • Please be respectful to the convention attendees by keeping your displays family friendly.

As noted below in the ADULT PRODUCTS POLICY, hentai, yaoi, and any other media material requiring an age limit of 18 or older cannot be sold within the vendor room, artist bazaar, or anywhere on the premises.

 

Weapons Policy

Enforcement of these rules is enacted with ZERO tolerance.

No warnings will be given.

Any infraction of these rules will be met with expulsion from the convention without refund and could include possible law enforcement involvement.

DEFINITIONS

A WEAPON is defined as follows:

Illegal Knife” means a:

  • knife with a blade over 4 ½ inches.
  • hand instrument designed to cut or stab another by being thrown
  • dagger, including but not limited to a dirk, stiletto, or poniard
  • bowie knife
  • sword
  • spear

Club” means an instrument that is specifically designed, made, or adapted for the purpose of inflicting serious bodily injury or death by striking a person with the instrument. Includes, but is not limited to:

  • blackjack
  • nightstick
  • mace
  • tomahawk
  • wooden sword 

DEALERS

  • Dealers will sell any defined weapon to persons of at least 18 years of age. Any dealer selling to minors will be removed from the convention and proper authorities may be notified.
  • All Dealers must box, wrap, or peace tie any weapon sold. Weapons are to be held by dealer until the customer is able to remove the weapon from the convention space and the DoubleTree Downtown.
  • The sale of firearms, Airsoft, and any other weapon is strictly prohibited. 

CONVENTION ATTENDEES  

  • Weapons brought to the con should be fake and part of your costume (no live steel or guns). Items that could be used as actual weapons, such as large wooden swords or sticks, will need to be peace-bonded upon entry. By bringing these items you agree to handle them in a safe and responsible manner. By federal law, any props that appear to be real firearms (plastic guns and the like) need to have government safety orange visibly displayed. No AirSoft or other projective weapons.
  • You may only handle any weapon if you are at least 18 years of age.
  • Any participant caught buying a weapon and giving it to a minor will be removed from the convention and proper authorities may be notified. The minor will be removed as well.
  • Drawing of weapons, horseplay, or careless handling of weapons in public places is not allowed and will result in loss of membership and expulsion from the convention.
  • Purchased weapons must be removed from the convention and the hotel. The vendor or security can hold your purchase until you are able to remove the items.
  • All cosplay participants planning to use weapon replicas onstage must present their weapons for inspection and demonstrate their intended use for the staff. Any unauthorized weapons or actions involving weapons onstage or backstage will result in disqualification and any further actions deemed necessary by Con Ops.
  • All persons handling weapons do so at their own risk.

These rules will be strictly enforced. Any infractions WILL cost you the offending items and may cause expulsion from the convention and the hotel without refund.

All decisions made by the staff regarding the Weapons Policy are final. Please note that the Weapons Policy is subject to change and may be done so without advance notice.

 

Bootleg Policy

 

Tokyo in Tulsa does not condone or support the sale of pirated or bootleg merchandise.

 Pirated video material, whether it be video, DVD, VCD or any other format is not tolerated. The decision has been made to prevent the sale of ‘gray’ area CDs which include, but is not limited to, SonMay, Ever Anime or other Taiwanese or Hong Kong distributors. For visual and audio material, only original Japanese or North American distributed items will be acceptable. Only properly licensed model kits (e.g. no Bendi or other similar imitations) will be tolerated.

 

Adult Products Policy

Vendors may sell an item that is allowed by Oklahoma law that does not conflict with convention rules and regulations and is relevant to the Tokyo in Tulsa venue.

Any live-action video that is considered to be ‘XXX’ or displays sexual penetration is illegal in Oklahoma and banned from the convention. This includes special features on DVDs and printed inserts. Anyone found selling these items will be asked to remove them from the premises. Failure to do so will result in loss of convention space for the remainder of Tokyo in Tulsa and the proper authorities may be notified.

Hentai, Yaoi, and any other media material requiring an age limit of 18 or older cannot be sold within the vendor room, artist bazaar, or anywhere on the premises.

This is a family-oriented convention that welcomes people of all ages and backgrounds.

 

Food Policy

Please note we are restricting certain items due to hotel / convention center policy and/or Oklahoma Law.  Both weapons and food cannot be sold except by sanctioned vendors.  We reserve the right to refuse vendor, artist or exhibitor space to anyone for any reason.

 

Physical Demonstrations 

Demo groups are:

  • Required to have their own insurance and keep a copy on the premises for the duration of the convention
  • Not allowed to charge for their demonstrations
  • Cannot involve attendees in anything other than an instructional manner (i.e. no attendee vs. attendee “sparring”, etc)
  • Must provide proof of certification for all participating members
  • Required to be established for a minimum of one year

 

By attending you agree that you have and understand the rules and regulations as they are stated above. The rules and regulations may change at any time. I agree to abide by the rules and regulations as they exist at the time I arrive at the convention.
